In Notes 5.x, you are able to control the expansion of public groups by adding a $ExpandGroups item to the message before pressing F9. To add the $ExpandGroups item, you can modify the design of the memo form (or use an alternate mail form that includes this item) or add the item via an agent or button. If the item exists when F9 is pressed, the following values for the item will be interpreted by the mailer to alter the default group expansion behavior:
"0" - Do not expand private or public groups
"1" - expand private groups only (same as default behavior)
Note for "1": This will also expand groups in local replicas of Public directories*
"2" - expand public groups only
"3" - expand private and public groups
This functionality is also available in Notes 4.6x, but the $ExpandGroups item must be of TYPE_TEXT. In Notes 5.x and 6.x the item can be either TYPE_TEXT or TYPE_TEXT_LIST.
In earlier versions of Notes (Notes 4.5x, Notes 4.1x, Notes 4.0), you can copy the public group to your private Address Book. Note, however, that changes made to the group's members list in the public N&A Book are not reflected in your private N&A Book until you manually update it.
Note: In the Notes R5 mail templates, adding the $ExpandedGroups item will cause the appropriate action to take place on the sent memo, but the action may not be reflected with the current memo when you press F9. If pressing F9 does not cause the expected behavior, see the following document for additional information: "$ExpandGroups and ExpandPersonalGroups Fields Do not Work as Expected in Notes" (#1085186 ).
*Note: The default behavior, also observed when using the setting of "1", also causes Public groups that are found in local replicas of Public directories to expand. This issue was reported to Lotus software Quality Engineering in SPR #THOA4RGHPU; however there are currently no plans to address this in Notes/Domino 5.x or 6.x.
