Hi zusammen,

wir würden gerne bei uns eine automatische Archivierung einrichten. Jedoch habe ich das Problem, dass bei der Archivierung auch die Kalendereinträge der Zukunft (z.B. Geburtstag) mit verschoben werden. Das ist natürlich nicht so toll, wenn ich plötzlich alle wiederholenden Termine der Zukunft dadurch mitverliere.

Kann man das bei Notes nicht anderes handhaben? Hab auch schon eine Ansicht erstellt und nur Form="Memo" eingebunden und dann bei den Einstellungen des Agentens als Bediengung den Ordner z.B. hier "Archivierung" angegeben.

Merkwürdig war hier, dass alle Einträge bis auf "Erinnerungen" verschoben wurden.

Solution
All Calendar entries contain a $NoPurge field with a date and time stamp.  With a single meeting, the $NoPurge field contains a date and time stamp corresponding to the date of the meeting.  With a repeating meeting, the $NoPurge field contains the date and time stamp of the last meeting in the repeat sequence.  The Notes Archive agent will archive only those Calendar documents containing a $NoPurge field with a date and time that is later than the current date and time, depending on the Archive Settings.

For example:
A single meeting with a $NoPurge field value of 12/24/2004 will not be archived on 10/18/2004.  It will be archived on a date AFTER 12/24/2004, depending on how many days the Archive agent is set to.

A repeat meeting starts on 1/2/2004 and ends on 12/27/2004.  This means that any document in the repeat meeting sequence from 1/2/2004 through 12/27/2004 will not be archived until after 12/27/2004, depending on how many days the Archive agent is set to.  This is because each document in the Calendar has a $NoPurge field value set to a date of 12/27/2004.

Supporting Information:

The $NoPurge field contains a timedate as its value.  For C&S Calendar entries, it is stamped with the date of the event instance and its end time.  If the date and time in $NoPurge field have passed, whether or not the document is archived hinges on a host of other conditions that are checked.  There are, however, three fields that take precedence over the others; specifically, $NoPurge, $Purge and ProtectFromArchive.  The field ProtectFromArchive acts as an indicator that the document never be archived.

If you want to keep all Calendar entries from being archived, you must add a ProtectFromArchive field to each Calendar document with a value of 1.  You can do this either by creating an agent to keep existing calendar entries from being archived, or by adding the agent to the form, which will keep all future Calendar entries from being archived.  Documents with this field set will not be archived, unless they are explicitly selected.

Please note that when using Archive -> Selected Documents, you can expect the documents to be archived regardless of the fields they contain.
