Problem
Using Lotus Notes®, when you access the Archive Settings of a mail file, the settings are grayed out. You can switch to the various tabs, but cannot not select any checkboxes, or modify or edit any settings.
In some cases, when you attempt to access the Archive Settings, the following error occurs and you are not able to access the Archive Settings dialog:
"You do not have the required access rights to the source database".
The above issues typically occur when you have less than Manager rights to the mail file. They may be more typical when a user is a delegate and is working within another user's mail file.
Note: The above issues may occur and a user may still be able to archive documents without issue.
Solution
The Archive Settings will be grayed out in cases where:
- The user does not have at least Editor rights to the mail file.
- The current Location document does not point to the mail server and/or the server mail file replica of the mail file they are working in.
- The user is working in a local mail file replica and the Archive Settings are designed to archive from the local replica to the server.
Be sure that the user has at least Editor rights, with delete access to the mail file, and that the current Location document points to the server and server mail file replica of the mail file - regardless of whether a local replica is currently being used. Relative to the server name: The hierarchical name should be specified, and not for example, the Fully Qualified Internet Host Name.
In addition to the above, in order for Archive behavior (for example, Archive Selected and Archive Now) to function, the following need to be true as well:
- The mail file owner setting within the Preferences is set to the correct user. It should not be set to the delegate's name, or a group name.
- The user archiving the documents needs to have at least Editor rights, with the "Delete documents" privilege in the mail file, the archive database, and the archive log (if used).
The scenario where the error occurs is not easily re-creatable. In one case it was recreated while:
- The user had Editor rights, with delete access.
- Was attempting to access archive settings within a server replica of the mail file.
- The current location document was not set to the correct mail server and server mail file replica.
- The archive settings were set to archive from the mail server to a local archive.
The above issue was not recreated in subsequent testing. In the original case, the issue was no longer observed once the delegate was granted Designer access. If the issue should occur and making the corrections noted earlier in the solution (for the grayed out archive settings issue) have no effect, then it may be necessary to attempt to recreate the archive profile document in order to avoid the issue. Refer to the following document for details: "How to delete Profile documents manually or using LotusScript" (#1088892). Note: Profile document updates and the deletion of profile documents can cache until a database is closed and re-opened.
